How to Use the Travel Budget Calculator

Estimating trip costs can feel like guesswork, but breaking it down into daily per-person averages makes it manageable. Start by selecting your destination cost level and travel style. The calculator will automatically populate baseline estimates for accommodation, food, transport, and activities. These are grounded in 2026 pricing, but you should adjust them based on your specific itinerary. If you already know your hotel costs $120 a night and you are splitting it with a partner, change the accommodation field to $60.

The flights box is optional. Enter the total lump sum for all travellers combined. The tool separates this from your daily on-the-ground expenses so you can see exactly what you are spending day-to-day.

Understanding Cost Tiers

To get accurate numbers, you need to align your destination with the right cost tier. Local taxes, tourism fees, and inflation vary wildly by region.

  • Low Cost: Countries like Vietnam, Bolivia, or India. Here, a budget traveller can secure a hostel bed in Hanoi or La Paz for $10 to $15 a night. Even mid-range travel is highly affordable; spending $40 a day on food means you are dining comfortably in sit-down restaurants.
  • Medium Cost: Think Portugal, Mexico, or Croatia. These require a bit more planning. A mid-range hotel in Lisbon’s Baixa district or a boutique stay in Oaxaca centre will push your daily accommodation average closer to $80 per person. Local transport remains affordable, but guided tours or regional trains will increase your activity costs.
  • High Cost: Switzerland, the USA, Australia, and the UK demand realistic expectations. A basic meal out in Zurich or San Francisco will quickly eat through a $35 daily food budget. Mid-range accommodation in these regions rarely drops below $150 per person, and activities like a guided glacier hike or a West End theatre ticket will significantly impact your daily average.

The 10% Buffer Rule

You will notice the calculator automatically adds a 10% “Extras/Buffer” to your total (excluding flights). This is practical budgeting in action. No matter how meticulously you plan, unexpected costs happen. You might miss a bus and need a $40 taxi, decide to upgrade a meal, or get caught in the rain and duck into a cafe for an overpriced coffee. Calculating a strict budget down to the final dollar usually leads to stress on the road. The 10% buffer gives you breathing room.

Tips for Accurate Budgeting

Do not forget to account for the pace of your travel. Moving to a new city every two days increases your local transport costs significantly compared to staying in one neighbourhood for a week. If you are planning a fast-paced itinerary covering 1,000 km across Japan via the Shinkansen, you must manually increase your daily transport estimate. Conversely, if you are renting an apartment in Rome for ten days and cooking half your meals, you can safely lower your daily food estimate.
